POSITION OPENING - POLICE DEPARTMENT ADMINISTRATIVE ASSISTANT
 

Position Title:          Police Administrative Assistant 

Supervisor:             Chief of Police                                            

 

General Description:  Performs a variety of administrative duties to facilitate the efficient operation of all aspects of the police agency.

Essential Job Functions: 

  • Property and Evidence Custodian Assistant
  • Criminal case management and State Attorney’s Office liaison
  • Prepare and submit UCR report twice a year
  • Maintaining police records and retention schedules
  • Handle accounts receivables and payables
  • Answers phones, takes messages, and route calls
  • Greet and assist visitors
  • Open and distribute mail
  • Prepare memos, reports, and correspondence as needed
  • Perform general clerical duties such as photocopying, scanning, faxing, mailing, sort and file correspondence, reports, or other materials
  • Receive and distribute subpoenas.
  • Enroll officers in training courses and conferences
  • Maintain training logs
  • Maintain and order office supplies and equipment.
  • Process Uniform Traffic and Boating Citations and send to appropriate agencies.
  • Receive and process requests for resident Vacation Watch
  • Perform other job-related functions as assigned

Minimum Qualifications:

  • Graduation from high school or equivalent and five years secretarial or administrative assistant experience; or an equivalent combination of relevant education and experience.  
  • Valid Florida Driver’s License
  • No criminal history
  • Knowledge of computer software systems to include Microsoft Office software (Word, Excel)
  • Ability to communicate effectively both orally and in writing
  • Ability to establish and maintain effective working relationships with employees, government officials and the general public
  • Skill in using time management methods effectively.
  • Ability to work independently with minimal supervision.

Desired Qualifications:

  • Bilingual
  • Previous police records and/or property & evidence experience
