POSITION OPENING - POLICE DEPARTMENT ADMINISTRATIVE ASSISTANT
Position Title: Police Administrative Assistant
Supervisor: Chief of Police
General Description: Performs a variety of administrative duties to facilitate the efficient operation of all aspects of the police agency.
Essential Job Functions:
- Property and Evidence Custodian Assistant
- Criminal case management and State Attorney’s Office liaison
- Prepare and submit UCR report twice a year
- Maintaining police records and retention schedules
- Handle accounts receivables and payables
- Answers phones, takes messages, and route calls
- Greet and assist visitors
- Open and distribute mail
- Prepare memos, reports, and correspondence as needed
- Perform general clerical duties such as photocopying, scanning, faxing, mailing, sort and file correspondence, reports, or other materials
- Receive and distribute subpoenas.
- Enroll officers in training courses and conferences
- Maintain training logs
- Maintain and order office supplies and equipment.
- Process Uniform Traffic and Boating Citations and send to appropriate agencies.
- Receive and process requests for resident Vacation Watch
- Perform other job-related functions as assigned
Minimum Qualifications:
- Graduation from high school or equivalent and five years secretarial or administrative assistant experience; or an equivalent combination of relevant education and experience.
- Valid Florida Driver’s License
- No criminal history
- Knowledge of computer software systems to include Microsoft Office software (Word, Excel)
- Ability to communicate effectively both orally and in writing
- Ability to establish and maintain effective working relationships with employees, government officials and the general public
- Skill in using time management methods effectively.
- Ability to work independently with minimal supervision.
Desired Qualifications:
- Bilingual
- Previous police records and/or property & evidence experience
